Inbound scheduling
Appointments booked during a phone call, a text exchange or a web inquiry, without moving the customer to another tool.
SCHEDULING
Booking software that only shows free slots creates a different problem: the wrong appointments in the wrong places. Real scheduling automation respects travel time, appointment types, who is qualified to do what, notice periods and the shape of a working day, and it handles the whole lifecycle including the reschedules and cancellations. It works from inbound calls, texts, web forms and follow-up sequences, so a booking can be completed in whichever channel the valued client started in.

WHAT IT HANDLES
Appointments booked during a phone call, a text exchange or a web inquiry, without moving the customer to another tool.
Two-way sync with your working calendars so availability reflects reality and double bookings do not occur.
The right person or resource by service type, qualification, location, workload or account ownership.
Appointment durations, buffers, travel time between sites, minimum notice, blackout periods and how far ahead bookings are allowed.
Self-service changes within your policy, with the slot released immediately so it can be offered to someone else.
Confirmation on booking, reminders on your schedule, and a simple way to confirm or move the appointment from the message.
EXAMPLE
The request arrives A caller asks for an appointment, or a web inquiry comes in and the follow-up sequence offers times.
Rules applied Service type determines duration and who is qualified. Location determines travel buffers. Notice rules remove slots that are too soon.
Confirmed The slot is booked, the calendar updated, the customer confirmed by text and email, and the record created or updated in your CRM.
Before the appointment Reminders go out on your schedule with a one-tap way to confirm, reschedule or cancel, which is where most no-shows are prevented.
If plans change The customer moves the appointment within policy, the original slot is released and offered again, and the assigned person is notified.
Afterwards Completion can trigger the invoice, a payment request, a review request or the next appointment in a recurring plan.
WHEN THIS MAKES SENSE
Each of those is a rule that exists in someone's head instead of in the system. Writing them down is most of the work of automating scheduling, and it is the part we do with you during implementation.
Bring one routine request and one exception. Review existing-number forwarding where supported, plus AI transparency.
Rules first
Scheduling automation is only as good as the rules behind it.
Write down your appointment types and their real durations, including any preparation and clean-up time. Decide the minimum notice for a booking and the notice required for a change. Decide who can deliver each appointment type, and whether customers may choose a person or only a time. Decide how far ahead the calendar opens, and what the buffer between appointments needs to be once travel is included.
Then decide the exceptions: which appointment types can never be booked online, what happens when nothing suitable is available, and who gets asked when a request does not fit the rules. These are the moments where a badly configured system creates work rather than removing it.
With those defined, the automation is straightforward, and every booking that reaches your calendar is one your team can actually deliver.
Common questions
It syncs two-way with the working calendars your team already uses, so availability reflects reality and appointments booked elsewhere are respected.
Within the policy you set. Notice periods, how many times an appointment can move and which appointment types are eligible are all configurable, and released slots are immediately offered again.
Confirmation at the point of booking, reminders on a schedule you choose, and a one-tap way to confirm or move the appointment. Making it easy to reschedule prevents more lost slots than making it hard does.
Travel buffers are part of the availability logic, so the system will not book two appointments that look fine on a calendar grid but are impossible to drive between.
Secure your spot and bring the rules your team applies by instinct. We will turn them into availability logic that books correctly without supervision.
