Law Firm Automation: Intake and Consultation Handoffs
An illustrative law firm intake workflow capturing approved information, routing inquiries for review and confirming consultation or callback next steps.
Conceptual workflow example, not a verified customer case study or performance result.
The challenge
Where the workflow needs an owner.
A legal team receives inquiries during meetings and outside office hours. An intake workflow can preserve the request and collect approved fields, while staff retain decisions about conflicts, matter acceptance and legal advice. The aim is an accountable handoff rather than an automatic decision about a caller’s case.
Proposed approach
The approach.
Illustrative legal team · United States
Route by the firm’s explicit practice-area and assignment rules; do not infer legal eligibility or provide advice.
Where permitted, check consultation availability and record a saved appointment or an owned callback request.
Give the responsible staff member the intake summary, uncertain information and due next action.
The scenario
In this hypothetical US legal team, a caller describes a matter while the intake staff are unavailable. The workflow collects information the firm has approved and routes the request to the correct team. It does not determine the merits of a case, verify a legal deadline or promise that the firm will accept the matter.
The proposed workflow
A consultation request follows the firm’s scheduling and review rules. Where a person needs to decide whether the request may proceed, the workflow creates a staff task with the collected context. It records an appointment only after confirmation from the calendar or practice tool; otherwise the request stays open with an owner.
What to measure
Test an out-of-scope inquiry, uncertain facts, a conflict-review requirement, an unavailable calendar and an unaccepted callback task. Review intake completeness, accepted handoffs, confirmed consultations and staff correction effort. This example does not establish signed cases, reduced staffing requirements or support for every language.
“Automation can prepare the handoff. Decisions about legal representation remain with the firm.”
